01 · Start here/Everyone

Create your account

Sign up as talent or as an employer with your email, or continue with Google.

Create an account
  1. 1Open Sign up and choose how you want to use Ekki: I'm a talent or I'm an employer, then select Proceed.
  2. 2Enter your Email and a Password. The checklist under the box turns green when you have at least 8 characters and one special character.
  3. 3Select Get started. Or use Sign up with Google instead.
  4. 4We email you a 4-digit code. Enter it on the Check Your Email screen and select Proceed.
  5. 5You are signed in and taken to onboarding to set up your profile.
If the code doesn't work
  • Codes last 10 minutes. Select Click to resend if yours expired; you can request a new one after 60 seconds.
  • After 5 wrong attempts you need to request a fresh code.
  • Check your spam folder, and make sure you typed the email address correctly.

Log in and reset a forgotten password

Sign in with your email and password, or Google. Reset your password by email code.

  2. 2Or choose the Google button.
  3. 3Talent who haven't finished onboarding are taken there first. Everyone else lands on their dashboard.
Reset your password
  1. 1On the login page select Forgot password?, enter your email and send the code.
  2. 2Enter the 4-digit code from your email.
  3. 3On Set New Password, enter your new password twice and select Update Password.
  • A code that is wrong or expired is only flagged when you select Update Password. If that happens, go back and request a new code.
  • If sign-in is slow, refresh the page and try again.
03 · Start here/Talent

Complete your talent onboarding

Four short steps build your profile. Your assessment is generated from what you enter, so be complete and honest.

How it works

Use Save & continue to move forward and Back to return. Steps you have completed can be reopened from the side list. Your progress is saved on your device, so a refresh will not lose it. You can select Skip to go to your dashboard, but your profile and assessment will be incomplete.

The four steps
  1. 1Personal Information: photo, first and last name, professional title, country, state / province / region, plus optional phone, years of experience, time zone, summary and languages. First name, last name, title, country and region are required.
  2. 2Skills & certifications: add skills with a level (Beginner to Expert), upload certifications (PDF or DOCX up to 10MB), and rate yourself from 1 to 5 on problem solving, communication, leadership, team collaboration and project management.
  3. 3References: add each referee's full name, email and phone number, and tick I have informed this referee they may be contacted. We email them to confirm your details.
  4. 4Preferences & availability: preferred roles (at least one), employment type, availability, work arrangement, salary expectations and relocation or visa preferences.
  5. 5On the last step, select Finish. Files upload first, then your profile saves and you land on your dashboard.
Tell your referees to expect an email from Ekki before you submit. Giving them a heads-up gets you a faster reply.
04 · Start here/Employers

Set up your company profile

Three steps tell us who your company is and who is authorised to hire on its behalf.

Open onboarding
  1. 1Sign up as an employer (see Create your account), then continue to onboarding.
  2. 2Company: upload a logo and enter your company name, size, industry, country and state / province / region.
  3. 3Contact: add your website, company email and phone number. Select Add another for more contacts.
  4. 4Authorized representative: enter the person's name, job title, email, phone, date of birth and nationality. Choose a document type (Passport, National ID or Driver's License) and upload the ID.
  5. 5Complete the Facial verification live check, tick the box confirming you are a director or authorised signatory, and select Finish.
Your submission goes to In review while our team checks it. You can resubmit if it is returned with Action needed.
  • If you skip onboarding, parts of the dashboard will ask you to complete your company profile first.
  • Failed uploads are remembered, so you can retry without re-uploading everything.
05 · Start here/Employers

Get your business verified

Verification unlocks Explore Talents. Track the three checks from one page.

  1. 1Open Verification. You will see Business verification with a count of how many of the 3 checks are complete: Company, Contact and Authorized representative.
  2. 2Statuses are Pending, In review, Verified and Action needed. If you see Action needed, our team's reason is shown in red.
  3. 3Select a check that is not yet Verified to reopen that onboarding step with your details already filled in. Fix what was flagged and resubmit.
What verification unlocks

Until your company is verified, Explore Talents shows a Verification in progress message with a View verification status button. The job form also asks you to complete verification first, with a Go to verification button.

06 · Start here/Employers

Invite teammates and set their access

The account owner can add admins and recruiters and choose which areas each can use.

Open Settings
Invite someone
  1. 1Open Settings, then Team & members, and select Invite teammate.
  2. 2Enter their Email and choose a Role: Admin or Recruiter.
  3. 3Under Manage access, pick at least one area: Dashboard, Explore talents, Job postings, Shortlists, Interviews or Hiring pipeline.
  4. 4Select Send invite.
If you are the one invited
  1. 1Open the link in your invite email. It is valid for 72 hours.
  2. 2Check the company name, enter your first and last name and create a password.
  3. 3You are signed in and taken to the dashboard.
Good to know
  • Only the owner can invite, edit or remove members.
  • You can only invite people who do not already have an Ekki account.
  • Each member uses a seat on your plan. At the limit, upgrade to invite more.
  • To resend an invite, invite the same email again to issue a fresh link.
  • Members only see the areas you grant them. Other areas show a message asking them to contact a team admin.
07 · Get verified/Talent

View, edit and share your profile

Your profile is what employers see. Keep it current and share it with a link.

Open Profile
  1. 1Open Profile. After onboarding you see a read-only view of everything employers see.
  2. 2Select Edit next to Professional summary, Work Experience, Skills or Certifications to change them. You jump straight to the right step.
  3. 3Select Save & continue. When editing, each step saves immediately.
  4. 4Select Share to download your profile or copy a link, or send it by WhatsApp, LinkedIn, X, Facebook, Telegram or email.
  5. 5Use View résumé (PDF) under Portfolio & links to open your CV.
What else is on your profile

You will also see your professional scores, your reliability result, your verifications, languages, and your Open to opportunities details such as notice period and work style.

08 · Get verified/Talent

Verify your identity and credentials

Six checks prove you are who you say you are. We verify against independent sources, never documents alone.

Open Verification
The checklist

Open Verification to see your checklist and a percentage complete. Email verification and Location verification happen automatically (email once you confirm your signup code; location once your profile has a country and city). The other four you complete yourself: Government-issued ID, Facial verification, Education verification and Employment verification.

Government-issued ID
  1. 1Select the row, then choose Passport, National Identity Card or Driver's License.
  2. 2Upload clear images of the front and the back. Images must be PNG, JPG, GIF or SVG, up to 3MB each.
  3. 3Select Submit and wait for the upload to finish before closing the window.
Facial verification
  1. 1Select Start live check and allow camera access.
  2. 2Follow the on-screen and spoken prompts: look straight, turn left, turn right, smile.
  3. 3Review the four captured photos. Select Retake if any look wrong, or Submit.
Education verification
  1. 1Enter your Institution name, Field of study, Country and Qualification.
  2. 2Add your start and graduation years, or tick I am currently studying here.
  3. 3Upload your degree certificate or transcript.
  4. 4Use Add another institution for more (up to 10), then select Submit.
Employment verification
  1. 1Upload your CV or résumé (PDF or DOCX, up to 10MB).
  2. 2Add each role: company, job title, employment type, industry, dates and responsibilities. Tick current role if you still work there.
  3. 3Optionally add projects with your role and a link.
  4. 4Select Submit. You need at least one role, or an uploaded CV.
What happens next

Each submission goes to our team for review, which usually takes 2-3 business days. Statuses are Pending, In review, Verified, or Action needed. If you see Action needed, the reason is shown in red; fix it and resubmit.

Tips for a smooth check
  • Use well-lit photos where all four corners of the document are visible.
  • If the camera won't start, check your browser's camera permission for Ekki.
  • Close and reopen the flow with the Close button or Esc if you need to step away.
09 · Get verified/Talent

How reference checks work

The people you list as referees are emailed to confirm your details. You don't need to do anything after listing them.

What your referee sees
  1. 1They receive an email with a private link titled Reference request.
  2. 2The page shows your name and title, plus the details you entered about them: company, job title, relationship and years worked together.
  3. 3They select Confirm, this is accurate, or Something's wrong (and add a note, which is required) and then Submit.
Statuses

A reference is Pending until answered, then Confirmed or Disputed. An admin can also mark one Manually verified.

  • Use each referee's correct email. Duplicate emails are only contacted once.
  • If a link is invalid or expired, ask us through support to resend it.
10 · Get verified/Talent

Take your staged assessments

Prove your skills in five sequential stages. Each unlocks after you pass the one before.

Before you can start

Your profile must be complete and every verification step submitted. Then Ekki builds a personalised assessment from your profile, which takes a moment. If generation fails, select the retry button.

The stages
  1. 1Initial screening.
  2. 2Role specific competency.
  3. 3Communication.
  4. 4Character & integrity.
  5. 5Practical simulation (see the next guide).
Take a stage
  1. 1On the stage card choose Start assesment. A window explains the duration and the pass mark.
  2. 2Tick the declaration that you have reliable electricity and a stable internet connection, then select Start assessment.
  3. 3Answer one question at a time using Back, Next and Finish.
  4. 4Your result appears as a score. Select View results to review your answers.
Stay on the test tab. Switching tabs, copying, pasting or going offline counts as a violation and shows a warning. After 3 violations the test submits automatically, and it also submits when the timer ends. Refreshing does not reset the timer.
If you don't pass

Select Retake when it is available. You have up to three attempts: the second unlocks 2 weeks after the first, and the third about 3 months after the second. The date appears on the card. After that, contact support to request a reassessment.

11 · Get verified/Talent

Complete your practical work simulation

A real-work brief, not a quiz. You are assessed on output, quality, process and how you respond to feedback.

  1. 1Pass the first four assessment stages to unlock it.
  2. 2Read your brief carefully: the title, the requirements and any specifications. A countdown shows your deadline.
  3. 3Write your solution in the editor. Optionally attach a supporting file and add Notes for the assessor.
  4. 4Select Submit for review and confirm. You cannot change your work afterwards.
  5. 5Check your result for criteria scores, Where you did well and Where to improve.
  • Submitting an empty editor is blocked. Write your solution first.
  • Late submissions are not rejected; they go to a human reviewer.
  • Your work is checked for originality, so write it yourself.
12 · Get verified/Talent

Continuous evaluation period

Three short tasks over several days show employers you are a reliable, responsive collaborator.

  2. 2A new task opens every 2 days. Each one stays open for 24 hours.
  3. 3Type your Your response, add an optional note and select Submit task.
How you are scored

On time counts as 100%, late as 50%, and missed as 0%. Your final score is the average, finalised once the last window closes. This measures timeliness, not the quality of your answers.

If you don't pass, Explore Jobs stays locked. Take a Development course and try again.
13 · Get verified/Talent

Understand your Talent Score and tier

Three scores summarise your standing, and your tier shows how far along the trust ladder you are.

Your three scores

Talent Score is the average of your passed assessment stages. Trust Score comes from employer reviews after completed projects (quality, reliability, communication and professionalism). Job Completion is completed projects out of completed plus cancelled. Use the breakdown buttons to see what feeds each number.

The tier ladder
  1. 1Verified: all six verification checks complete.
  2. 2Certified: Verified, and all five required assessment stages passed.
  3. 3Elite: Certified, with a Talent Score of 90 or higher.
  4. 4Trusted Global: Elite, a Trust Score of 85 or higher, and at least 3 completed projects.
  • Trust Score stays empty until your first employer review.
  • Your tier updates automatically as your results change.

Search for verified talent

Browse Certified, Elite and Trusted Global talent and see how well each person fits your role.

Explore Talents
  1. 1Open Explore Talents (your company must be verified).
  2. 2Search by name or title, then narrow with filters: Talent tier, Skills, Time zone, Experience level, Availability and Min. Trust Score. Select Apply.
  3. 3Each card shows a match score. Open Why this match to see the reasons.
  4. 4Select View profile for the full verified profile, or Shortlist to save the person.
  5. 5Keep scrolling to load more results.
On the Free plan, talent search is limited to one page of up to 10 results, and match quality shows as a label (Strong, Good, Fair or Limited) instead of a number. Upgrade for full search and scores.

Shortlist and compare candidates

Save candidates to a role-specific shortlist, then compare up to three side by side.

  2. 2Choose which role it is for (required), then Choose a shortlist or Create a new shortlist.
  3. 3Select Add to list. You can then Keep browsing or Schedule interview straight away.
Manage and compare
  1. 1Open Shortlists. Tick lists in Your shortlists and select Apply to filter, or use Add new to create one.
  2. 2Each row shows tier, Verified badge, Talent % and Trust %, plus Interview and Remove buttons.
  3. 3Select Compare, tick up to 3 candidates, then Proceed to compare.
  4. 4The comparison shows match score, Talent and Trust Score, job completion, experience, availability, time zone, salary expectation, top skills and assessments.
  • A shortlist belongs to a role, so post a job first if you have none.
  • A candidate already shortlisted for a role cannot be added to it twice.
  • Deleting a shortlist cannot be undone.

Move candidates through your hiring pipeline

A board with Shortlisted, Interviewing, Offer and Hired columns for every role.

Open Hiring Pipeline
  1. 1Open Hiring Pipeline and choose a job.
  2. 2Drag a candidate card between columns, or open the card for full details.
  3. 3Dropping into Interviewing opens the Schedule interview window.
  4. 4Dropping into Offer takes you to send the offer. You need an interview with the candidate first.
  5. 5Dropping into Hired is only possible from Offer, and opens Mark as hired.
Moving a candidate from Interviewing back to Shortlisted cancels their scheduled interview and notifies them. You will be asked to confirm.
  • Cards show the match %, days in stage, and a Passed, Failed or Hired badge.
  • If a drop is refused, a message explains what to do first, such as Schedule an interview for this candidate before sending an offer.

Explore jobs and bookmark roles

Browse roles matched to your Talent Score, filter them, and save the ones you like.

  1. 1Open Explore Jobs. Each card shows the role, company, location, work mode, skills, salary range and a match percentage.
  2. 2Narrow the list with the All roles / Remote / Hybrid / Onsite pills, the search box, or the Location, Experience and Skills dropdowns.
  3. 3Select Bookmark on a card to save it. Find saved roles under Bookmarked Jobs.
  4. 4Select Apply to open the full job details.
  5. 5Turn on Add job alerts to be told about new roles that match you.
Why the job list may be locked

Jobs unlock once your profile is complete, your identity verification is approved, your assessments are approved, and your reliability check has not failed. If something is missing, a message tells you exactly what, with a button to fix it.

Apply for a role

Your verified Ekki profile is sent automatically. Add a résumé and an optional note and you are done.

  1. 1Open a role and read What you'll do, What we're looking for and Required skills.
  2. 2Check Why you're a strong match to see which skills are helping you, and which to add to reach 100%.
  3. 3In Apply for this role, upload your résumé (required). Use Edit profile if something needs updating first.
  4. 4Optionally write a Cover note.
  5. 5Select Submit application. You will see a confirmation, and What happens next shows your progress.
Submit application stays disabled until a résumé is attached.
19 · Jobs & offers/Talent

Review, accept or decline an offer

Offers arrive as notifications. Read the full letter, then accept or decline.

  1. 1Open Notifications and select the offer notification, then View offer.
  2. 2Read the offer letter: base salary, signing bonus, target bonus, equity, start date and any note from the company.
  3. 3Note the date the offer stays open until.
  4. 4Select Accept offer, or Decline. Declining asks you to confirm and cannot be undone.
Placement confirmed

When an employer confirms a full-time placement, you get a Placement confirmed notice with your salary, location and work mode. Full-time placements are paid directly by the company, outside Ekki, so confirm pay and start details with them.

  • Once an offer expires or is withdrawn, it shows as no longer active and cannot be accepted.
  • You can message the company from Chats if you have questions before deciding.

Post, edit and close a job

Describe the role, set your budget and scoring priorities, then publish it to be matched with talent.

Create a role
Create a role
  1. 1Open Job Postings and select the button to create a role (Create a new role).
  2. 2Fill in Role title, Category, Seniority level, Currency, Minimum and Maximum budget and Role description. Budgets are monthly unless the engagement type is Contract.
  3. 3Optionally add engagement type, what the candidate will do, what you are looking for, skills and time zone.
  4. 4Adjust the six scoring sliders (technical, task execution, reliability, values, communication and fast learner) to show what matters most.
  5. 5Select Save as draft, or Publish role. The Your role is live window offers View matches.
Manage a role from the Job Postings list
  1. 1On Job Postings, select the three dots at the end of a role's row.
  2. 2Choose View for its applicants and analytics, Edit to change the details, or Preview to see the page exactly as candidates see it. In Preview, applying is switched off.
  3. 3Under Set status, pick Open, Interviewing, Reviewing, Draft or Closed. The change shows everywhere straight away, including to candidates browsing jobs.
  4. 4Choose Delete to remove a role. A confirmation window tells you how many applicants will be removed.
Statuses and limits

Only Open roles are visible to candidates and count against your plan's active job limit. Interviewing, Reviewing, Draft and Closed roles stop taking applications. If you reach your limit, you are asked to close one or upgrade. Delete is only available before you have started hiring for a role (an offer, a hire or a placement); after that, close the role instead.

Review applicants and top matches

See who applied, how they fit, and where each person is in your process.

Job Postings
  1. 1Open Job Postings. The top cards show active postings, total applicants, in review and candidates matched. Filter the table by status.
  2. 2Open a role to see Overview, Applicants and Analytics tabs.
  3. 3On Overview, check the pipeline snapshot and the Top matches preview, then View all top matches for the full list.
  4. 4On Applicants, follow each person's status: New, Reviewing, Shortlisted, Interviewing, Offered, Hired or Rejected.
Top matches come from Certified and higher candidates. On the Free plan you see a match label instead of a score.

Send a job offer

Make an offer to a candidate who passed their interview and track their response.

  1. 1Make sure the candidate has been interviewed for the role (offers can only be sent from the hiring pipeline's interview).
  2. 2On Interviews, open the candidate and select Send offer. This is available once they have Passed.
  3. 3Choose the Offer type (Full time, Part time or Contract) and enter the Base salary.
  4. 4Optionally add a signing bonus, target bonus %, equity %, start date, who they report to, a note and when the offer expires.
  5. 5Select Preview to see the offer letter, then Send offer.
What happens next

The candidate is notified and can accept or decline. If they accept, the application becomes Hired and a project is created for you to fund. If they decline, the application is marked Withdrawn. Sending again updates an offer that was already sent.

Find, accept and prepare for your interviews

See every upcoming and past interview in one list, accept an invite, or ask to reschedule once.

Open Interviews
Two kinds of interview

Your Interviews page lists certification interviews (run by an Ekki assessor) and hiring interviews (run by an employer) together. Use the Upcoming and Past tabs, or the search box, to find one.

Accept an interview
  1. 1Open Interviews from your dashboard. Your next interview appears in a banner at the top.
  2. 2Choose Proceed (certification) or open the invite from the list (hiring).
  3. 3Check the date, time, duration and type, then select Accept or Accept invite.
  4. 4If it is a phone interview, enter your phone number when asked.
  5. 5When it is time, choose Join call. Phone and in-person interviews show View detail instead.
Ask to reschedule
  1. 1On the invite, select Reschedule.
  2. 2Give a reason, then pick a preferred date (not in the past) and time.
  3. 3Select Send request.
You get one reschedule request per interview stage. It is granted at the interviewer's discretion, and the company may decline.
How to prepare
  • Test your camera and microphone.
  • Review your work simulation submission.
  • Prepare examples of past challenges you have handled.
  • Find a quiet, well-lit space.
After the interview

Once a result is in, use View feedback (hiring) or View (certification) to see your overall score, strengths, areas to improve and the assessor's note.

Join and use the live video call

Set up your camera, check your connection, and know what to expect once you are in the call.

Before you join
  1. 1On Set Up Your Camera and Microphone, choose whether to join with your camera and microphone on, then select Continue. Your choices are remembered for next time.
  2. 2On Check Your Connection Strength, allow camera access so you can see your preview.
  3. 3The Join call button unlocks 5 minutes before the scheduled start. Until then it shows a countdown.
  4. 4Select Join call. If you arrive before the host, you will see Waiting for the host to join…
During the call
  1. 1Use the round buttons to turn your microphone or camera on or off, share your screen, or open Chat.
  2. 2The person speaking appears large, with everyone else as small tiles underneath.
  3. 3Chat messages show an unread badge on the Chat button. On a phone, chat opens full screen.
  4. 4A red banner, This call is being recorded, appears if the interviewer starts a recording.
  5. 5The pill at the top shows time remaining and turns red in the last 5 minutes.
How a call ends
  1. 1You leave: select End Call, then End call to confirm. This only removes you; the interview carries on for everyone else.
  2. 2Time runs out: at 5 minutes left you hear a chime and see a warning. At zero the call ends automatically and shows This interview has ended.
  3. 3The host ends it early: you see a full-screen message with a 5-second countdown, then you are taken back to your interviews. Select Leave now to skip the wait.
If something goes wrong
  • Weak connection or Reconnecting… banners mean your network is struggling. Move closer to your router or switch to a stronger network. The call recovers by itself.
  • If you are told the interview has ended, the host closed it and it cannot be rejoined.
  • You can refresh the page without losing your place; the call steps are saved in the address.
  • A message such as You don't have access to this interview means you are signed in to a different account than the one invited.

Schedule an interview and add a panel

Invite a candidate, choose a time in their time zone and bring colleagues onto the panel.

  1. 1From the pipeline, a shortlist or the talent list, choose Schedule interview or Interview.
  2. 2Pick a day and a time. Times are shown in the candidate's time zone.
  3. 3Set the Duration (up to 30 minutes) and the Type: Video call, Phone call or In person. In person needs an address.
  4. 4Select Send invite.
Add a panel
  1. 1On an interview, find Interview panel and select Add.
  2. 2Choose teammates who have an active account, or select Invite a new teammate.
  3. 3Panel members show as On panel or Invite pending. You are the host.
What the candidate gets

They are emailed and notified, and can accept or ask to reschedule. Reminders go out 30 minutes and 5 minutes before the start.

  • Schedule from the hiring pipeline if you plan to make an offer. Interviews scheduled from Explore Talents or Shortlists are not linked to a role, so an offer cannot be sent from them.
  • Your plan limits how many video interviews you can run each month; a banner warns you as you approach it.
  • If a candidate asks to reschedule, open the request to Accept request. Declining cancels the interview.

Run a live call, record it and end it

Host the interview, optionally record it, and end the call for everyone when you are done.

  1. 1At the scheduled time, select Join call on the interview.
  2. 2Allow camera and microphone, check your connection preview, then join.
  3. 3Use the buttons to mute, turn the camera off, share your screen, open chat or start recording.
  4. 4Starting a recording shows everyone a This call is being recorded banner. Stop it when finished; it uploads automatically and you and your panel are told when it is ready. Find it under Recordings.
  5. 5When finished, select End Call and choose End call (red) to end it for everyone, or Just leave to step out while the others continue.
Ending the call marks the interview as over for everyone, and nobody can rejoin. Other participants see a 5-second countdown, then are taken out automatically. Stop any recording before you end the call so it uploads.
Time limits

A timer shows the time left. At 5 minutes remaining everyone hears a chime and sees a warning. At zero the call ends automatically.

Score a candidate after the interview

Each panelist submits a scorecard. The result is decided once everyone has submitted.

  1. 1On Interviews, find an interview marked Awaiting feedback and select Score candidate.
  2. 2Rate each area from 1 to 5: Technical skills, Problem solving, Quality of work, Communication and Culture add.
  3. 3Choose an Overall recommendation: Strong yes, Yes, No or Strong no.
  4. 4Write Strengths and Areas to improve.
  5. 5Select Save draft to continue later, or Submit.
How the result is decided

Once every panelist has submitted, the interview is Passed if more than half recommended Yes or Strong yes, otherwise Failed. The candidate is notified. Until then you will see Final decision pending.

Track your active jobs, milestones and escrow

See each placement's progress and payment schedule, and know when money is released.

Open Active jobs
  1. 1Open Active jobs to see stats for active jobs, money in escrow, money released and clients matched.
  2. 2Filter by status: Onboarding, In progress, In review, Completed or Cancelled. Use Export to save a CSV.
  3. 3Open a project to see Overall progress and each milestone with its amount, due date and status.

How escrow protects you

The client funds the project up front and the money is held in escrow. Each installment shows as Upcoming, In escrow or Released. When the client approves a milestone, that installment is released to your wallet.

Raise an issue
  1. 1On the project page, select Raise an issue.
  2. 2Choose a category: Non-payment, Misconduct, Breach of contract, Harassment or Other.
  3. 3Describe what happened in at least 20 characters and submit.
You can file one complaint per project. After filing, the button becomes a status pill so you can follow it.

Track your time with the Ekki Time Tracker

A small desktop app that records your working hours against a project.

Install it once
  1. 1On Active jobs, choose Download Tracker for Windows or Download Tracker for Mac.
  2. 2On Mac, follow the One extra step on Mac instructions: move the app to Applications, run the copy-and-paste Terminal command shown, then reopen the app.
  3. 3Sign in with your talent account email and password. The app is for talent accounts only.
Track a project
  1. 1On Active jobs, select Track time on a project. The app opens and starts tracking.
  2. 2Or open the app, pick a Project and select Start tracking.
  3. 3Select Stop tracking when you finish.
What it records

The app notes how active you are, and takes a screenshot every 10 minutes by default. If you are idle for 60 seconds it asks whether you are still there. You can only track one project at a time, and only projects that are Onboarding, In progress or In review can be tracked.

  • If screen-recording permission is denied, screenshots are skipped but your activity is still counted.
  • Stop your current session before switching to another project.

Fund a project and set up milestones

When a candidate accepts, choose how to pay. Escrow protects both sides.

Active projects
  1. 1Open Active projects. A project appears when a candidate accepts your offer. Choose Setup escrow on the card.
  2. 2On the fund page, select a payment structure: Full-time placement, 50 / 50 installment, or Full payment.
  3. 3For installments or full payment, enter the escrow amount. It must be at least the contract value. The Charge summary shows the platform fee.
  4. 4Select Fund escrow. If you have a saved card it is charged; otherwise you go to a secure checkout and return to Ekki afterwards.
  5. 5When you see Project funded successfully, select Setup milestone.
Set up your milestones
  1. 1Give each milestone a title, its deliverables, a release trigger (On start date or On end date) and a due date. Due dates must be in the future, and the progress bar on the project moves toward the last one each day. You and the candidate are reminded in the app and by email a few days before each one.
  2. 2Need more than the milestones created for you? Select Add milestone (up to 12). Remove one with the bin icon.
  3. 3Set each milestone's Share of escrow (%). The shares must add up to 100%, and the amounts update as you type. Select Split evenly to reset them.
  4. 4Select Setup milestone to save.
You can add, remove or re-weight milestones until the first payment is released. After that, only titles, deliverables and dates can be edited.
The three payment structures

Full-time placement is a direct hire paid outside Ekki, so no escrow is needed; confirming it closes the project as Completed and tells the candidate. 50 / 50 installment releases half at the start date and half about 30 days later. Full payment is released when the work completes.

  • Escrow is not available on the Free plan; upgrade first.
  • Your payment gateway depends on your company country (Paystack in Nigeria, Stripe elsewhere).
  • If a payment fails, the page shows why, such as the card being declined or no payment method on file.

Release milestones and review the work

Approve each milestone to release its payment, then rate the candidate when the project wraps up.

  1. 1Open the project from Active projects to see Overall progress and Milestones & payments.
  2. 2When a milestone is delivered, select Release milestone, then Confirm release, to pay it out of escrow. If it isn't due yet, the confirmation says you are releasing early. A milestone with no due date shows Configure milestones instead; set its due date there first.
  3. 3After every milestone is released, the project moves to In review and the review form opens on its own whenever you open the project. Close it and use Leave a review to come back to it later.
  4. 4Rate Quality of work, Reliability, Communication and Professionalism from 1 to 5, optionally tick Would hire again and add a comment.
  5. 5Select Submit review. This completes the project.
  • You can only review once every milestone has been released. After you submit, View your review shows what you sent.
  • Reviews feed the candidate's Trust Score, so be honest and specific.
  • Use Chat user to message the candidate from the project page.
  • If something goes wrong, use File a complaint and choose a category such as Misconduct, Poor quality of work, Breach of contract, Fraud or Harassment.

Monitor time, activity and screenshots

Open time tracking
Check on your team
  1. 1Open Time tracking in the sidebar. The page refreshes by itself every few seconds.
  2. 2Live now shows everyone with an open session, with a ticking timer and their status: Working, Idle, On a break, or No signal (the app has stopped reporting).
  3. 3Pick a range (Today, This week, Last week, This month or Custom) to see hours tracked, average activity and how both compare with the previous period.
  4. 4Use the status chips, search and column headers to find people. Needs attention counts anyone who missed today, has low activity or has gone quiet.
  5. 5Select Export CSV for a company-wide hours report.
Look closer at one candidate
  1. 1Select a candidate to open their page: a daily chart with their expected hours, a day timeline, screenshots and every session.
  2. 2Click a bar in the chart (or use the day chips) to open that day's timeline. Each block is a ten-minute window coloured by how active they were; camera marks show where screenshots were taken.
  3. 3Apps & websites shows where their active time went, as a productivity split and the top apps and websites (see the guide on app tracking).
  4. 4In Screenshots, turn on Low activity to jump to the captures worth a second look, or Blur to keep thumbnails hidden until you hover.
  5. 5Open Preferences to set a weekly hours target, work days and start time, when to flag low activity, and whether to remind them automatically.
  6. 6Select Export CSV on the candidate's page for a timesheet of their sessions.
What the numbers mean

Time tracked is the candidate's net working time: the session length minus any breaks they paused for and any idle time they chose to discard when they came back. Activity is the share of sampled time with keyboard or mouse use, taken from the screenshot intervals. Idle time the candidate discards still counts as idle in the activity figure, so the record stays honest.

Time tracking is not included on the Free plan. Candidates record time using the Ekki Time Tracker desktop app.

Remind candidates to track their time

Nudge a candidate to start the tracker, invite someone who has not set it up, or let reminders go out automatically.

  1. 1On Time tracking, find a candidate who is Offline, On a break or showing No signal and select Remind to start (or Nudge to resume).
  2. 2Add an optional note, or pick a quick message, then select Send reminder.
  3. 3For a candidate who has never used the tracker (Not set up), the button is Invite to tracker. They get an email with the setup steps.
  4. 4To reach everyone at once, select Remind everyone. It lists exactly who will be contacted before anything is sent.
What the candidate receives

A notification in their dashboard with a Start tracking button, an email, and a pop-up in the Ekki Time Tracker app if it is running. Starting a session after a reminder marks it as answered, and you see that on the candidate's page and in the activity feed.

Automatic reminders
  1. 1Open a candidate's page and select Preferences.
  2. 2Set their work days and the time their working day starts (in their timezone).
  3. 3Turn on Automatic reminders and choose how long to wait after the start time. If they have not started tracking by then, they get one reminder that day.
  • Reminders are limited to one every 30 minutes per candidate, and invitations to one a day, so nobody gets spammed.
  • You cannot remind someone who is already tracking. Someone on a break is skipped by Remind everyone, but you can still nudge them from their own row.
  • Automatic reminders skip candidates with no timezone set, and are never sent on days you have not marked as work days.

  2. 2Switch on Track apps & websites. Nothing is recorded until you do, and each placement is its own switch.
  3. 3Optionally switch on Also keep window titles. A title can include a document name or an email subject, so leave this off unless you need it.
  4. 4Select Save preferences. The candidate's tracker shows them a notice within seconds, even mid-session.
Read the report
  1. 1On the candidate's page, Apps & websites shows a productivity split (productive, neutral, unproductive) and a share for each category.
  2. 2Switch between Apps and Websites to see the top ten with time, share and category.
  3. 3Coverage tells you how much of the tracked time the figures account for. A browser tab you cannot see into (for example Firefox on a Mac) counts as the browser.
  4. 4If you have switched recording off, the card keeps showing what was collected before.
  5. 5The Ekki Monitor app shows the same card on a candidate's screen.
What the candidate sees, and what is never recorded

While recording is on, the Time Tracker app shows the candidate a card saying who is recording what, and lists the apps and websites seen so far today, so nothing is hidden from them. Websites are saved as the domain only (for example github.com), never the page, the search or the login. Private browser windows are counted as the browser and nothing more. Password managers are counted but never named. Window titles are kept only if you switched them on, and only for that placement. The server enforces these rules as well as the app.

  • Categories and productivity ratings are worked out when you read the report, so they improve over time without changing what was recorded.
  • Turning recording off stops new data straight away; what was already collected stays on the report.
  • On macOS, the tracker reads the front app with no permission. Websites in Chrome, Safari, Brave, Edge and Arc need a one-time OK from the candidate, and window titles need Accessibility access. If they say no, they simply are not recorded.
  • Windows records apps and window titles but not website addresses yet.

Install it
  1. 1On Active projects or Time tracking, use the Monitor your team from your phone banner (or the Mobile app button). A QR code opens the instructions on your phone.
  2. 2Android: download the app, and if Android blocks it, allow installs from your browser once (Settings, Apps, Special app access, Install unknown apps). If Play Protect warns, choose More details, then Install anyway.
  3. 3iPhone: if the app comes through TestFlight, install TestFlight and accept the invitation. If it is a downloaded file, turn on Developer Mode (Settings, Privacy & Security), install it with AltStore or Sideloadly, then trust it under Settings, General, VPN & Device Management.
  4. 4Open Ekki Monitor and sign in with your employer account.
Use it
  1. 1The Live tab shows who is working now, hours tracked and anyone who needs attention. Pull down to refresh; it also updates itself.
  2. 2Tap a candidate for their daily chart, day timeline, apps and websites, and screenshots. Tap a screenshot to view it full screen, pinch to zoom, and swipe between captures.
  3. 3Tap the bell on a row, or Remind at the bottom, to send reminders. The Activity tab lists recent sessions and reminders.
Turn on notifications
  1. 1Allow notifications when the app first asks, or open Settings in the app and switch on Notifications on this phone.
  2. 2Choose what to hear about: someone who has not started, a tracker that goes quiet, replies to your reminders, an end-of-day summary, and (off by default) every start.
  3. 3Pick the hour for the summary, and use Send a test notification to check that it arrives.
  4. 4Tapping a notification opens that candidate in the app.
  • Turn on Blur screenshots by default in Settings if you review in public.
  • Share a CSV timesheet from any screen with the share button.
  • Signing out removes your phone from your account, so the next person to use it does not get your notifications.
  • Sign-in is for employer accounts only. Candidates track their time in the desktop app.

Check your balance and withdraw earnings

See what you have earned, what is held in escrow, and move money to your bank.

Your three balances

Available balance is what you can withdraw now. In escrow is money held across your active engagements. Total earned is everything you have received.

Withdraw (bank account)
  1. 1On Wallet, select Withdraw.
  2. 2First time: choose Add a bank account, pick your bank, enter your account number and select Verify account to confirm the name.
  3. 3Select Save bank account.
  4. 4Enter an amount and select Withdraw.
Withdraw (Stripe)
  1. 1Select Connect with Stripe and complete Stripe's onboarding. You return to Ekki automatically.
  2. 2Once you see Stripe account connected, enter an amount and select Withdraw.
Good to know
  • Your withdrawal method is chosen automatically by your country; you cannot switch it.
  • You cannot withdraw more than your available balance.
  • If Stripe onboarding is unfinished, you can pick up where you left off.
  • Use Credits or Debits, search, and Export to review recent transactions. Open one to see its milestone releases.

What plans control

Your plan sets how many teammates you can have, how many jobs can be Open at once, how many video interviews you can run each month, the depth of talent search and match scores, and whether escrow and time tracking are available. The Free plan is for trying things out; paid plans raise every limit. Prices and limits can change, so check the pricing page for current details.

Change your plan
  1. 1Open Settings, then Billing & plan (only the account owner can manage billing).
  2. 2Select Change plan, or open Compare plans, and choose a new plan.
  3. 3Confirm Upgrade or Downgrade. Upgrades apply right away.
  4. 4For paid plans, complete the secure checkout. You return to Settings once payment is confirmed.
Cancel
  1. 1On Billing & plan, select Cancel plan and confirm.
  2. 2You keep your plan until the current period ends, then move to the Free plan.
  • An orange banner with an Upgrade link appears when you reach a limit.
  • Enterprise is custom. Choose Talk to us about Enterprise to open a support ticket.
  • Plans renew monthly. If a renewal payment fails repeatedly, your account moves to Free.
  • Your invoices are listed on the same page.

Choose what you are told about, who can see you, and manage your account.

Notifications

Open the notification panel to see All, Read and Unread items, mark them all as read, or delete individual ones. Selecting a notification marks it read and takes you to the right page. Interview invites, offers and feedback have action buttons on the item itself.

Settings sections
  • Account: update your name, professional headline, country, region and time zone, then Save changes.
  • Notifications: turn on or off new role matches (90%+), application updates, employer updates, assessment reminders and product news.
  • Privacy & visibility: control whether employers can see your profile, whether you appear in the Talent Pool, whether your Trust Score is public, and search-engine visibility.
  • Security: use Forgot password to get an email code and set a new password.
  • Delete account: permanently erases your profile, scores and history. This cannot be undone.
